How to manage an association: the complete guide

EMS GABON guide · updated September 2026 · 5 min read

A well-run association is one that lasts: motivated members, healthy finances, transparent decisions. Here are the key areas to master and the best practices for each.

Manage the members

It all starts with an up-to-date member file: contact details, role (chairperson, treasurer, secretary, member), join date and status (active, suspended). Define roles and rights clearly to avoid grey areas in decisions.

Track contributions and savings

Contributions are the lifeblood of the association. Record every payment, keep track of each member's savings and publish the accounts regularly. A member who clearly sees what they've paid contributes more willingly.

Keep the treasury and accounts

Separate the flows: association treasury (fines, fees), collective account, project accounts. Every entry and every outflow must be dated, justified and attributed. That's the basis of sound control and a calm general assembly.

Manage internal loans

Many associations grant loans to their members. Set rules: maximum amount, interest rate, due dates, renewal conditions. Track every loan and its repayment so you never lose the thread.

Track attendance and meetings

Attendance reflects commitment. Keep attendance sheets, distinguish justified absences, and plan sessions (date, time, place) ahead. A consistent fine schedule encourages attendance.

Produce clear reports

At every key milestone, produce a readable summary: inflows, outflows, savings, outstanding loans, fines. Clear reports build trust and make collective decisions easier.

💡 Handling all of this in separate notebooks quickly becomes unmanageable. A single tool centralizes members, contributions, treasury, loans, attendance and reports — and prevents errors.
